Processing Full & Partial Analytics for ReCAP


Guidelines describe Voyager record structure providing two paths of request through either series or monographic records of fully or partially analyzed sets. System allows for request from either record and prevents duplicate requests. [Procedure is derived from SCARM-335: Bound-with Procedures for Offsite Serials and Multi-volume Monographic Sets, Situation A.]

Processing fully and partially analyzed sets creates a record structure identicle to a complex bound-with (see SCARM-335). Analyzed volumes are "bound-with themselves" across the serial and monographic records. Charge status only displays in the "live" item records; no charge status applies to "blind" item records.

Separate procedures will be employed for full and partial analytics

For fully analyzed sets the analyzed, monographic titles have "live" item records; the serial/set title has "blind" item records. The serial/set title has a public note directing user to monographic record for circulation information.

For partially analyzed sets the serial/set title has "live" item records; the analyzed, monographic titles have "blind" item records. The monographic titles have public notes directing user to serial/set title for circulation information.

Definitions

A "live" item record contains the barcode number in the item record Barcode field.  There can only be only one "live" item record created for each physical barcode.

A "blind" item record has a blank item record Barcode field.  The barcode number is entered in the Note field, preceded by the text string DO NOT REMOVE: and a space, e.g. DO NOT REMOVE: CU12345678.

Notes
  • Caption term and numbering are entered in the item record Enum field for serial/set record; monographic record has caption term/numbering at end of call number in holdings record.
  • The text string represented below by [shortkey] will vary on different workstations (e.g. ;; or //).
  • Unanalyzed volumes of a serial/set will not have "blind" item records because there are no monographic records to link.
  • This procedure is not standard operating procedure for MRP processing analytics for ReCAP.
  • This procedure is performed upon selector or administrative request.

Procedure for processing fully analyzed sets

Serial/multi-volume monographic set

Holdings
  • Code this holdings location as off,xxx (e.g. $b off,mus).
  • Enter 866 data according to usual procedures.
  • Enter $x a:all $z For circ info search author or title of individual volumes.
  • The macro for this note is [shortkey]all
Item
  • Create one "blind" item record for each separate volume. 
  • Enter the Enum/Chron for each volume.
  • Do not enter the barcode in the Barcode field.  Open the Note field, enter the phrase DO NOT REMOVE: followed by a space, and then scan the barcode, e.g. DO NOT REMOVE: CU12345678
  • The macro for this note is [shortkey]bar
  • The item location will be the same as the holdings record location (e.g. Perm. Loc. off,mus).
  • Set item type to circ.

Monograph

Holdings
  • Code the holdings location according to normal procedures (e.g $b mus4off).
  • Add caption term/numbering after call number.
Item
  • Create a "live" item record.
  • Scan the offsite barcode into the Barcode field.
  • The item location will be the same as the holdings record location (e.g. Perm. Loc. mus4off).
  • Set item type to circ.

Procedure for processing partially analyzed sets

Serial/multi-volume monographic set

Holdings
  • Code the holdings location according to normal procedures (e.g $b mus4off).
  • Enter 866 data according to usual procedures.
Item
  • Create one "live" item record for each separate volume.
