Music Library


General Collections

Music Library has transferred collections to ReCAP since the facility opened in 2002.  Collections include multiple formats: printed text, scores, CDs, cassettes, LPs, laser discs, reel-to-reel, mixed media and other media.  It has four corresponding CLIO locations assigned for off-site collections:

  • off,mus : general collection of circulating monographs and serials (circ)
  • off,msc : general collection of circulating musical scores (circ)
  • off,msr : general collection of circulating recorded materials (recording)
  • off,mvr : general collection of circulating video recordings (video)

Music Library collections correspond to two different customer codes:

  • MR : allow delivery only to Music Library
  • CU : allow delivery to all CUL and ReCAP partner libraries

Music Library has progressed through four phases of smart barcoding: 2002 (CU5/MR5), 2005 (CU5/MR5), 2006 (CU6/MR6), 2010 (CU6/MR6), and 2012 (CU/MR).  Collections have been transferred from several physical locations: Dodge Hall 8th floor, Prentis, Annex and new acquisitions from MPS via BSP.

On the annual (estimated) ReCAP quotas, Music Library has typically been allocated 5,000 volumes for collection growth offset.

Snook Collection

Approximately 20,000 LPs including duplicates.  Collection is roughly half classical and half popular music.  Donor, Paul Snook, actively uses collection.  Duplicates are offered for return to donor.  Currently located in 3rd floor Prentis, shelved in space not owned by CUL.  CDs from Snook have already been sent to ReCAP.

The Snook collection must be removed from Prentis Hall by May 2013.  On May 16, 2011, CUL moved ca. 6,000 recordings to Butler Tier 1 to stage for processing.  Under Russell Merritt's direction, the recordings will be searched and cataloged; duplicates will be withdrawn.  Future pickups have not yet been scheduled.  Timing depends on pace of processing.

Boulton Collection

The holdings of the Center for Ethnomusicology (http://ethnocenter.org/) include the field recordings from around the world (but especially strong in Native American and African materials) taken by the prominent mid-century music collector Laura Boulton during the late 1960s and early 1970s.  The Center holds reel-to-reel copies of these originals and now digitally remastered copies of most of them.  An additional set of bar-coded and cataloged reel-to-reel copies is now held by the Columbia library system at an offsite storage facility under archival climate-controlled conditions (BIBL# 7724600).  118 boxes of tapes were transferred from Butler 8th Floor, where they were stored during Dodge renovation.  ReCAP is intended to be dark storage for this collection. 

Other Notes

  • Uncataloged backlog on Butler Stacks Tier 1 : aisle 7W, 12 linear feet.  Processing completed 4/27/2011.
  • Virtual Vinyl : Proposal for electronic delivery of LP holdings from collections stored at ReCAP
  • Case Collection : a) Plans for preservation and/or off-site shelving; b) Service model proposal for sending Case Collections to ReCAP
  • Current shelving space in Dodge 7th Floor was renovated for use in 1997.
  • Exclude Chazen collection materials from future phases of smart barcodes. Criteria for LITO to be aware of is the $k CHAZEN in MFHD.
  • Interlibrary Loan requests for Music's Offsite scores, recordings and videos are delivered to Music Circulation (MR, not CI or IL).  More accurate tally of ILL requests needs to factor in these deliveries.

Folio Scores

In late 2009 the entire collection of folio scores (approx 600) was transferred to ReCAP.  In reponse to feedback from the composition faculty, 326 items were returned to on campus shelving.  File for return can be found here.  List was generated by using the list of barcodes sent to Watson Label Products and retrieving bib info from Voyager.  Faculty made selections on which would return to campus.  As part of de-accessioning the offsite barcodes were removed from books and submitted as permanent withdrawals.

High Use Titles

In March 2010, attention was given to high-use titles from the Music Library collection.  Staff intended to determine if titles could be transferred back to on campus shelving because of high-use.  "High-use" titles were predominantly multi-volume sets and from collections no longer shelved on campus, e.g. South Asian cassettes.  No items were de-accessioned.

  • Accessions
    Lehman-owned collections that have been transfered to the ReCAP facility.
  • Requests
    Total items requested from Lehman-owned collections at ReCAP.
  • Deliveries
    Items physically delivered to the Lehman Circulation Desk.  Includes items from all ReCAP collections, not only Lehman-owned.
  • EDD
    Total number of EDD (electronic document delivery) requests for Lehman collections.  A subset of total "Requests."

ReCAP-Related Projects at Music Library

1. Music Library Barcode Clean-up Project (Mar. 2009 - Aug. 2009)

  • Primary goals
    Resolve all remaining leftover smart barcodes from previous phases of ReCAP transfer [COMPLETED 8/09]. Resolve all items that were charged to a status patron when not processed during first phase of smart barcoding [COMPLETED 6/09]. Items charged to the status patron (MUSMSBC001) are called MATOBs (MATOB = Missing At Time Of Barcoding).
  • Secondary goals
    Collect accurate statistics; improve bibliographic control of Music Library collections; address uniform encoding of Music Library special collections; transfer several hundred monographs to ReCAP; collaborate with Music Library staff to solve bibliographic problems.
  • Other goals
    Inventory Reference [COMPLETED 6/09] and Case collections [expected completion 8/09] in preparation for future transfers to ReCAP; eliminate CLIO location mus,anx2 [COMPLETED 7/09].
  • History
    In 2003/2004 smart barcodes were assigned to single volume monographs in the Music Library circulating collection. Staff was assigned to match bibliographic information on the barcode to physical volumes. Titles with a circulation stamp dated within the last five years were marked with a “C” and the barcode was left on the sheet. Titles not found on the shelf were marked with a “O” or “Ø” and left on the sheet. Music Library staff took subsequent ad hoc actions to resolve problematic titles. There has been no systematic approach to the leftover smart barcodes or MATOBs at CUL.

2. Obsolete CLIO Locations (Mar. 2010 - ongoing)

Small scale project begun in March 2010 to resolve low-volume, obsolete CLIO locations.  Obsolete CLIO locations represent collections that had been targetted for complete offsite processing and transfer.  Most often records represent duplicate copies.

Staffing: Music Library staff as available; ReCAP Coordinator available for consultation

Procedure: Music Library staff search by call number.  If found, barcoded and transferred to ReCAP as appropriate.  If not found, suppressed and CLIO location changed (e.g. pren,mscr -> msc).
